Construction ERP for Builders: From Material Indent to RA Bill

A plain guide to the construction ERP chain for builders: material indents, purchase orders, goods receipts, three-way matching, work orders, measurements and RA bills.

On most construction sites, the money goes out through two doors: material bought from vendors, and work done by contractors. A construction ERP puts a document behind every step of both, so the owner can see what has been ordered, received, billed and paid, and compare it with the budget.

The material chain

Material indent

The site engineer raises an indent: what material is needed, how much and by when. It is the site's request, and it should be approved before money is committed.

Purchase order

Purchase turns the approved indent into an order with a vendor, at agreed rates and terms. Seeing the last rate paid for the same item helps catch price creep.

Goods receipt

When material arrives, stores record what was actually received against the order. Deliveries are often partial, so the system should accept short receipts and refuse to receive more than was ordered.

Vendor bill and three-way match

The vendor's invoice is checked against what was ordered and what was received. This three-way match stops paying for material that never arrived.

Payment and ledger

Payments settle bills, and the vendor ledger shows what is still owed. For cheques and demand drafts, a hand-over check adds control.

The contractor chain

Work order

A work order records what the contractor will do and the agreed rate for each item.

Measurement

As work progresses, quantities are measured and recorded. Measurement is the contractor's equivalent of a goods receipt.

Running account bill

The RA bill charges for work measured in the period. Retention is usually held back as a percentage of each bill, TDS is deducted as applicable to the contractor, and any advance given earlier is recovered. What remains is the net amount payable.

Budgets and site cost

Set a budget per site and per head such as civil, steel or electrical. Compare it with spend plus what is already in the pipeline, not with spend alone, and warn when a new order would cross it. Keep cost, material waiting in store, commitments and cash paid as separate figures, because adding them together counts the same rupee twice.

How BuilderCRM supports this

BuilderCRM's construction ERP runs both chains. Site teams raise indents and record goods receipts and measurements from the phone, with photos. Purchase orders show the last purchase rate, receipts can be partial, and vendor bills are matched against orders and receipts. RA bills come from measurements with retention, TDS and advance recovery. Site budgets warn on the purchase or work order form, and the site cost report keeps cost, waiting, committed and cash as four separate figures. Every ERP document prints as a PDF.
