How to Track Site Visits and Follow-ups So No Lead Is Lost

A practical system for real estate sales teams: follow-up dates on every lead, daily reminders, site visits with outcomes, and reports that show where leads stall.

In property sales, a lead rarely says no. It simply stops hearing from you. The buyer who asked for a cost sheet on Monday books elsewhere on Saturday because nobody followed up. The fix is not more effort; it is a simple, repeatable system that makes the next step impossible to forget.

1. Every lead has a next follow-up date

The single most useful habit is to set the next follow-up before ending a call. A lead without a next date is a lead nobody owns. When the date arrives, it should appear on the salesperson's list without anyone having to remember it.

2. One daily list, every morning

A short list at the start of the day beats a long list nobody reads. Each person should see their follow-ups for today, anything overdue, and the site visits scheduled for the day. Overdue items belong at the top.

3. Record site visits as events, not notes

A site visit is the strongest buying signal you get. Treat each visit as its own record: when it is scheduled, who hosts it, and what happened. Mark it completed, cancelled or no-show, and write a remark the next person can act on, such as "wants the corner unit and the terrace".

4. Keep the full history on the lead

Calls, emails, WhatsApp messages and visits should all sit on the lead in order. When a lead moves from one salesperson to another, the new owner should be able to read the story in a minute.

5. Close leads honestly

A pipeline full of dead leads hides the live ones. Use a clear closing status with a reason, so reports show what is genuinely in play. When a lead is closed as lost, any upcoming visit should be cancelled so nobody waits at the site.

6. Watch where leads stall

Review the pipeline by status every week. If many leads sit after a site visit, the follow-up after the visit needs work. If leads stall before the first visit, the first conversation needs a stronger reason to come.

How BuilderCRM supports this

In BuilderCRM every lead has a next follow-up, and at 08:00 each person gets their follow-ups, site visits and tasks for the day, including overdue ones, on the web and in the mobile app. Site visits are separate records with a host, a time, a status and remarks, and upcoming visits are cancelled automatically when a lead is closed as lost. Your own lead statuses drive the pipeline, with one status for new leads and one for closed leads.
